SIRS
Registration of students in SIRS in 2026 and requesting Western Australian student numbers
Contact
Data Services (08) 9273 6352
dataservices@scsa.wa.edu.au
All student registrations for Years 3, 5, 7, 9, 11 and 12 must be uploaded to the Student Information Records System (SIRS). Schools are required to complete student registration upload for these year groups by Thursday, 12 February 2026.
Registration and demographic information for all remaining students in Kindergarten, Pre‑primary and Years 1, 2, 4, 6, 8 and 10 must be uploaded to SIRS by Thursday, 26 March 2026.
It is important for schools to verify that all students have a Western Australian student number (WASN) prior to uploading the Student Registration and Demographic (SRGDG) files to SIRS.
Section 4 of the Data Procedures Manual available at https://www.scsa.wa.edu.au/publications/data-procedures-manual provides detailed guidance and step-by-step instructions on how to register students in SIRS and how to search for a WASN.
Further information about student registrations for 2026 is available in the November 2025 edition of this Circular at https://www.scsa.wa.edu.au/kto6-circulars/edition-10-november-2025.
Further information on requesting student numbers is available in the September 2025 edition of this Circular at https://www.scsa.wa.edu.au/kto6-circulars/edition-8-september-2025.
All important dates related to the collection of data by the School Curriculum and Standards Authority are available in the 2026 Activities Schedule at https://www.scsa.wa.edu.au/publications/activities-schedule.
Note: after Thursday, 12 February 2026, it may not be possible for school data to be transferred to the NAPLAN platform in bulk, and schools may need to enter students into the NAPLAN platform manually.
Uploading data files to SIRS
Contact
Data Services (08) 9273 6352
dataservices@scsa.wa.edu.au
It is important for schools to check that data files have been successfully uploaded to the Student Information Records System (SIRS).
If a file has been successfully uploaded to SIRS, the person who uploaded the file will receive two emails. The first email confirms that the file has been verified, and the second confirms that the file has been successfully processed.
If an error occurs during the upload process, the person who uploaded the file will receive one of two emails, either:
- a notification of an error in the verification process
or
- a notification of a processing issue.
If either of these emails is received, the error must be identified, rectified, and the files re-uploaded to SIRS. Failure to follow up on these errors and/or warnings may result in information not being recorded in SIRS.
For further information and troubleshooting, refer to Sections 4.8 and 4.9 of the Data Procedures Manual 2026 available at https://scsa.wa.edu.au/publications/data-procedures-manual.
If further assistance is needed, forward the email with the errors/warnings to dataservices@scsa.wa.edu.au.
Review and update SRMS accounts
Contact
Daniel Creusot (08) 9273 6343
srms@scsa.wa.edu.au
Schools must ensure that their Student Records Management System (SRMS) accounts are current.
School SRMS administrators can manage these accounts by following the steps outlined in the School Records Management System School administrator’s guide for role assignment available at https://scsa.wa.edu.au/sirs-and-srms-info/srms-information/role-assignment. SRMS accounts must be updated whenever there is relevant change in school staff.
School administrators for the Student Information Records System (SIRS) can view, but not edit, existing SRMS accounts through the SIRS Security: Users tab.
Unlike SIRS accounts, the User Logon ID for an SRMS account will match its registered email address. Selecting an SRMS account from the search will display a message at the top of the page, specifying if they are an SRMS administrator.
SRMS accounts grant access to:
- the Dashboard
- ATAR EAL/D eligibility declarations
- WACE Language applications
- Year 11 equivalent studies.
Further information on the SRMS is available at https://scsa.wa.edu.au/sirs-and-srms-info.
