Introduction to Student Information Records System (SIRS)

The School Curriculum and Standards Authority (the Authority) is conducting Introduction to Student Information Records Systems (SIRS) information/training sessions in January 2026. The sessions are aimed at new and existing SIRS users in schools.
The sessions will cover the basic operations and functions of SIRS, including SIRS administration, managing SIRS user accounts and provider member information.
Focus topics include:
- logging in to SIRS
- administering SIRS – including managing SIRS user accounts and provider member information
- uploading various files – including checking and verifying data transfers
- understanding common errors
- generating and finding commonly used reports
- accessing assistance with local databases
- requesting assistance from the Programs and Data team.
Ideally, two staff members should attend: the clerical staff member responsible for maintaining the changes on the school database and the Deputy or Associate Principal.
There will be two sessions conducted in‑person at the Authority offices and two online. These are repeated sessions; participants only need to attend one. It is recommended that those attending the in‑person training, who have a SIRS login account, bring their own device to login to their school’s SIRS account during the sessions.

Thursday, 22 January 2026:

- 1.00–3.00 pm.

Registrations close Thursday, 15 January 2026.
Note: the Authority will use Teams as the delivery platform for the online training session. Registrants will need to download the application prior to their training session to participate.
Registration of students in SIRS in 2026 and requesting Western Australian student numbers

All student registrations for Years 3, 5, 7, 9, 11 and 12 must be uploaded to the Student Information Records System (SIRS) by Thursday, 12 February 2026.
Student Registration and Demographic (SRDG) files must be uploaded before this deadline to ensure there are no delays in processing student data for the National Assessment Program – Literacy and Numeracy (NAPLAN), and to ensure student details are available for the Online Literacy and Numeracy Assessment (OLNA).
Note: after Thursday, 12 February 2026, it may not be possible for school data to be transferred to the NAPLAN platform in bulk, and schools may need to enter students into the NAPLAN platform manually.
It is important for schools to verify that all students have a Western Australian student number (WASN) prior to uploading SRGDG files to SIRS.
Instructions on how to search for a WASN are available in Section 4.3 of the Data Procedures Manual available at https://www.scsa.wa.edu.au/publications/data-procedures-manual.
For new students commencing in 2026 who do not have a WASN, schools should request a new number beginning in January 2026.
Note: the School Curriculum and Standards Authority (the Authority) does not issue numbers for pre‑Kindergarten students.
