Student registrations

Schools and other education providers are reminded that the initial upload of student registration data (via the SRGDG file) for students in Years Kindergarten (K), Pre-primary (PP), 1, 2, 4, 6, 8 and 10 is required by Thursday, 28 March 2024.

Details of how to register students are provided in the Data Procedures Manual with links to assist schools using various school databases.

There is also a separate Primary Student Registration Procedures Manual to assist schools with creating and uploading their Student Registration and Demographic File (SRGDG) and Teacher Registration File (THREG) for schools participating in Brightpath.

Western Australian student numbers

All students are required to have a Western Australian student number (WASN) and be registered in SIRS.

If you require new numbers, please send a request to numbers@scsa.wa.edu.au. Please include the following information for each student:

  • Family name
  • Given name
  • Date of birth
  • Academic year the student is being registered in at the school.

Please note we do not issue numbers for pre-Kindergarten students.

Regular updates to registration and demographic information

Updates to student registration and demographic information should be uploaded into SIRS on a regular basis via the SRGDG for the remainder of the year.

At minimum, it is recommended that schools update and upload their student registration file (SRGDG) at the beginning of each term to record any student/s who may transfer from and/or to a school.

Schools are requested to include their school code in any correspondence.

Year 11 and Year 12 student enrolments in course units for 2024 – timeline

Contact
Perpetua Joseph
(08) 9273 6771
Perpetua.Joseph@scsa.wa.edu.au

Last dates for changes and withdrawals

Schools are reminded that Thursday, 28 March 2024 is the last date for changes to enrolments for:

  • ATAR, General, Foundation, Preliminary and Vocational education and training (VET) industry specific courses for Year 12 students
  • ATAR, General and Foundation courses (Units 3 and 4) for Year 11 students.

Note after Thursday, 28 March:

  • Student Information Records System (SIRS) will be locked, and no further changes (except withdrawals) will be accepted in the above courses
  • Year 11 and Year 12 students can withdraw from ATAR courses (Units 3 and 4) with practical examination components until Thursday, 18 July 2024
  • Year 11 and Year 12 students can withdraw from ATAR courses (Units 3 and 4) which do not have practical examination components until Monday, 5 August 2024
  • Year 12 students can withdraw from ATAR (Units 1 and 2), General, Foundation, Preliminary and VET industry specific courses until Monday, 5 August 2024.

Schools should request that Year 12 students use the School Curriculum and Standards Authority (the Authority) WACE Checker (available on the Authority website at: https://www.scsa.wa.edu.au/) before considering any course unit/s enrolment changes. This process should avoid issues relating to students missing out on meeting WACE eligibility requirements at the end of Year 12.

If schools do not withdraw students from Year 12 ATAR courses before the above deadlines, these students are enrolled in the course and are required to sit the ATAR course examinations. Where the Year 12 ATAR course has both written and practical examinations, students are required to sit both examinations. Students who do not sit an ATAR course examination and do not have an approved sickness/misadventure application for that course, will not have the grades for the pair of units completed in that year contribute to the calculation of the WACE. Further details relating to the consequences of not sitting examinations and the WACE requirements can be found in the WACE Manual 2024 at: https://www.scsa.wa.edu.au/publications/wace-manual section 7.2.1 under Explanatory notes relating to WACE requirements 2024 (Number 5).

The final date for upload into SIRS for enrolments in year-long Year 11 courses for Year 11 students is Friday, 3 May 2024. After this date, SIRS will be locked and no further changes (except withdrawals from these courses) will be accepted. From this date, Year 11 students may only be enrolled into single units for Semester 2 up until Thursday, 8 August 2024. After this date, SIRS will be locked and no further changes (except withdrawals from these courses) will be accepted.

Non-school candidate enrolments

Enrolments as non-school candidates in ATAR course examinations must be received at the Authority by Thursday, 28 March 2024. No further applications will be accepted after this date. This form is available on the Authority website at: https://www.scsa.wa.edu.au/forms/forms (under Enrolments).

These forms are available on the Authority website at: https://www.scsa.wa.edu.au/forms/forms (under Declarations).
