Allocation of WA Student Number for Primary Students 2018

All schools should by now have received communication regarding the allocation of the WA Student Number (WASN) for their students from Kindergarten to Year 6. It is a requirement that all students in WA receive a WASN and their data is uploaded to the Student Information Records System (SIRS) at School Curriculum and Standards.

This information is required by no later than the end of Term 3 2018.

The WASN remains with a student until the end of their senior secondary schooling and it is important that we avoid duplication of records where possible.

To request your WASNs, please send a spreadsheet to numbers@scsa.wa.edu.au and include each student’s legal surname, legal first name, date of birth and academic year.  We will check to see if the student already has a number, and advise appropriately, or request new numbers.

The process for uploading primary student information is exactly the same as for secondary students, through a Student Registration and Demographic (SRGDG) file to SIRS.

If your school has not yet received instructions on how to request numbers, create and upload their file, please contact dataservices@scsa.wa.edu.au and a member of the data team will be able to assist.

ALL schools are reminded to update their student information on a regular basis by uploading their SRGDG to SIRS.  This also ensures accuracy of data and avoids duplication of records.


Consequences of not sitting examinations in 2018

Schools are kindly reminded that students who are enrolled in a Year 12 ATAR course pair of units are required to sit the ATAR course examination. There are both written and practical examinations for some ATAR courses.

Students who do not sit an ATAR course examination and do not have an approved sickness/misadventure application for that course, will not have the grades for the pair of units completed in that year contribute to the calculation of the Western Australian Certificate of Education (WACE).

This means, the grades for the ATAR Year 12 course will not contribute to the:

  • completion of a minimum of 20 units, including 10 Year 12 units
  • completion of at least one pair of Year 12 units from an English course (if the ATAR Year 12 course was either English, Literature or English as an Additional Language or Dialect)
  • completion of one pair of Year 12 units from List A (arts/languages/social sciences) or List B (mathematics/science/technology) {depending on the list of the ATAR Year 12 course}
  • achievement of at least 14 C grades or higher, including at least six C grades in Year 12 units
  • completion of at least four Year 12 ATAR courses.

Students who do not sit the ATAR course examination will not have a course mark or grade recorded on their Western Australian Statement of Student Achievement (WASSA), nor will they receive an ATAR course report.

As a consequence, a student may not meet the requirements to receive a WACE.

The Authority advises consultation with students who may be enrolled in ATAR course/s but who are not requiring an ATAR to confirm that they must sit the examination for that course for it to contribute to their WACE.


Final dates for Year 12 students to withdraw from courses, 2018

Schools are reminded of the final dates to withdraw Year 12 students from courses:

  • Friday, 27 July 2018 – final date for withdrawing students from ATAR courses with practical examination components. No changes will be made to student enrolments in these courses after this date.
  • Friday, 17 August 2018 – final date for withdrawing students from ATAR courses which do not have practical examination components. No changes will be made to student enrolments in these courses after this date.
  • Friday, 17 August 2018 – final date for withdrawing students from General, Foundation, Preliminary and VET industry specific courses. No changes will be made to student enrolments in these courses after this date.

It may be a useful reference for your Year 12 students who may be deciding whether they are going to withdraw from a course as this is an important decision.


Extension for completing the online Student Declaration and Permission submission

Thank you to schools whose students have submitted the online Student Declaration and Permission at: https://www.wace.wa.edu.au opens in new window. Many students have not completed the process and the Authority has extended the final date for submissions to Thursday, 16 August 2018.

Please note: Students will be required to complete the Student Declaration and Permission when they log in to the portal before they can gain access to other important information such as their examination timetable.

The following students are required to complete the online Student Declaration and Permission:

  • all Year 12 students
  • Year 11 students who are studying ATAR Units 3 and 4 and sitting the 2018 ATAR course examinations
  • Year 10 students who have been given approval to study ATAR Units 3 and 4 and sit the 2018 ATAR course examinations.

Failure to complete the submission process may impact schools with students who:

  • may win an award (including students who are not sitting ATAR course examinations) and who have not indicated their preference to have/not have their name published in the media
  • are unaware of the requirements for achieving the WACE.

Schools are requested to ensure all students complete the submission process by the extended deadline of Thursday, 16 August 2018.

Schools can monitor which students have completed the online Student Declaration and Permission via the report CSE058 – Student Release Choices by Provider.

The pathway to the report is: Reports > Other reports > Report type: Students, Report: CSE058.

Examinations

Dictionaries permitted in the English as an Additional Language or Dialect (EAL/D) ATAR course examinations

The features of the dictionaries that are permitted for use in the English as an Additional Language or Dialect (EAL/D) ATAR course practical and written examinations are outlined below. Please note that dictionaries which include grammar sections are not permitted.

Before all practical and written examinations commence, supervisors will check each candidate’s dictionary to ensure it does not contain a grammar section or a reference section which contains grammar notes. Any dictionary which does not comply with these requirements will not be permitted for use during the examination.

2018 Awards for Outstanding Achievement in VET

Nominations for the 2018 VET Awards will open from the Friday, 29 June 2018 until Monday, 3 September 2018 (4:30 p.m.). The online Student Information Record System (SIRS) VET Awards nomination form can be accessed via the following link: https://sirs.scsa.wa.edu.au/scsaform/vetnominationform using your username and password for SIRS.

Please note: The online SIRS VET Awards nomination form will only be available between 29 June and 3 September.

The online SIRS VET Awards nomination form will only display students who meet the initial eligibility criteria therefore it is a requirement that VET and ADWPL enrolments for the student being nominated have been successfully uploaded in SIRS prior to commencing the online nomination process.


Workplace Learning Requirements for VET Industry Specific Courses

Schools who have students enrolled in VET Industry Specific Courses are reminded that the mandated Workplace Learning (ADWPL) units developed by the School Curriculum and Standard Authority (the Authority) must commence in the same year of enrolment in the VET industry specific course. However, this requirement can be met within the first year of a two year program.

Authority officers will be undertaking a VET Industry Specific Integrity Check in Term 3 and may request information to assess whether students are:

  • in a workplace which is aligned to the qualification being undertaken
  • provided with an opportunity to reinforce the learning of the qualification undertaken
  • undertaking ADWPL concurrently to the qualification.
